Understanding how your people are using Gemini is key to making sure your investment in AI tools is paying off. Whether you’re looking to track early adoption, identify quick wins, or support teams who haven’t yet jumped in. This guide walks you through how to access and interpret both organisation-wide and individual-level Gemini usage reports.

Step 1: Check Org-level usage

Log in to the Google Admin console

Log in to the Google Admin console with your administrator account. (If you’re not using an admin account, you won’t have access.)

Navigate to Gemini reports

Go to: Menu > Generative AI > Gemini reports > Org-level usage

Apply filters

Apply filters to zoom in on a department or group.

What the data tells you

Active Users

The number of active Gemini users in the last 28 days

Adoption Rate

The percentage of people with access who are actually using it

Usage Patterns

Daily usage patterns across your selected teams

Application Usage

Where Gemini is being used most: Gmail, Docs, Slides, Sheets, Gemini chat or Meet

Feature Usage

How often specific features like content summarisation or content generation are being triggered
Note: Changes to groups or organisational structure can take up to 72 hours to appear in the data. Newly allow listed groups may take up to 5 days to show results. The report counts “uses,” not unique documents. If 10 people each summarise the same doc, that counts as 10 uses.

Step 2: Drill down into user-level adoption

This view gives you a much closer look at how individuals are using Gemini. It’s particularly useful if you’re trying to identify early champions who can help drive adoption, or if you want to understand how widely tools are being picked up across your teams.

Navigate to: Menu > Generative AI > Gemini reports > User-level usage

Use filters to look at a particular group or organisational unit

Who’s included in these reports

  • Users with Workspace licences that include Gemini
  • Gemini Business or Enterprise licence holders

Export options

You can download either the full table or just usage counts, depending on what you want to work with.
Data alone won’t shift behaviour, using data as a diagnostic tool will help identify opportunities to use it to guide enablement efforts, highlight wins, reallocate resources, and build the right cultural conditions for AI to become part of everyday work.
